Privacy Policy — Turveys QuickBooks Integration

This Privacy Policy explains how the Turveys QuickBooks Integration(the “Application”) handles data. The Application is a private, internal tool operated by Greaves And Harvey Ltd, trading as Turveys Fine Furniture.
1. Data controller

2. What the Application accesses and records
The Application connects to our own QuickBooks Online company.
It readsaccounting data, which may include: company information and chart of accounts; customer records (including names and contact details); vendor/supplier records; invoices, bills, payments and other transactions; and financial reports (e.g. Profit & Loss, Balance Sheet).
It also writes records into that same company — the sales, deposits, supplier bills and payments generated by our own business systems. Where a transaction relates to a customer, the record written identifies that customer by name and, where relevant, their contact and address details, in the same way a manually entered invoice would.
3. How and why we use it
We use this data only for our own internal business purposes — reconciling and verifying our accounts, reporting, and keeping our own business systems and QuickBooks in step. Keeping them in step means the Application both reads from QuickBooks and writes our own transactions into it; it does not alter or delete records it did not create, and it acts only on the single QuickBooks company we have authorised.
4. Lawful basis
Our lawful basis under UK GDPR is our legitimate interests in operating and reconciling our own accounting records, and, where relevant, performance of our contractual and legal obligations.
5. Sharing and disclosure
We do not sell, rent, or trade any data accessed or recorded through the Application, and we do not use it for advertising.
Data is exchanged with Intuit, the provider of QuickBooks Online. The Application both reads records from our QuickBooks company and writes records into it, so personal data relating to our customers — such as name, contact details and address — is transmitted to and stored within that QuickBooks company. Intuit’s handling of that data is governed by Intuit’s own terms and privacy policy.
Data is also exchanged with the infrastructure and service providers we use to operate the Application, who act on our instructions. We may disclose data where required by law.
6. Storage and security
Access credentials (OAuth tokens) and any retained data are held securely, encrypted at rest, with access restricted to authorised personnel. We take reasonable technical and organisational measures to protect the data.
7. Retention
We keep data accessed or held by the Application only for as long as necessary for the purposes above, and in line with our wider record-keeping and legal obligations.
8. Your rights
Individuals whose personal data we hold have rights under UK GDPR, including access, rectification, erasure, restriction, and objection. To exercise these, contact us at the address above. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
9. Relationship to Intuit / QuickBooks
The Application reads data from QuickBooks Online, an Intuit product. Intuit’s own handling of your data is governed by Intuit’s privacy policy, separate from this one.

We may update this Policy from time to time. The current version is always available at this URL, with the effective date shown above.
